Order Analytics

Track order volume, status distribution, and identify trends in your order workflow

Overview

Order analytics help you understand how many orders you're processing, when they're being completed, and how they're distributed across different statuses. The analytics dashboard provides two main visualizations for order data: Order Volume (completed orders over time) and Order Status Trends (all order statuses over time).

Tip: Order Volume only counts completed orders, while Order Status Trends shows all orders (completed, processing, pending, and cancelled) to give you a complete workflow picture.

Order Volume Chart

What It Shows

The Order Volume chart displays the count of completed orders over time, plotted as a purple area graph. This helps you identify busy periods, seasonal trends, and overall business activity levels.

  • Chart Color: Purple area with gradient (from #8b5cf6)
  • Data Source: Completed orders using completedAt or date field
  • Y-Axis: Number of orders (integer values only)
  • X-Axis: Time periods based on selected range

Time Range Granularity

The chart adjusts its detail level based on the selected time range:

  • 7D (Last 7 Days): Daily counts for each of the last 7 days
  • 1M (Last 30 Days): Daily counts for each of the last 30 days
  • 3M (Last 3 Months): Monthly counts for 3 months
  • 1Y (Last Year): Monthly counts for 12 months
  • ALL (All Time): Monthly counts for last 12 months (but metrics include all historical data)
Example: Selecting "1M" shows 30 data points, one for each day. If you completed 5 orders on November 15th, that day's bar will show "5".

Interactive Features

  • Hover Tooltip: Shows exact date and order count
    • - Date/period label
    • - Number of orders with "order" or "orders" label
    • - Example: "15 orders"
  • Active Dots: Larger dots appear on hover for precise value identification
  • Total Display: Top-right shows total completed orders for the selected period
  • Period Label: Indicates Weekly, Monthly, Quarterly, Yearly, or All Time

Order Status Trends Chart

What It Shows

This stacked area chart displays the distribution of orders across four statuses over time: Completed (blue), Processing (purple), Pending (orange), and Cancelled (red). Unlike Order Volume, this chart includes ALL orders regardless of status.

  • Chart Type: Stacked area chart with gradients
  • Status Colors:
  • - Completed: Blue (#60A5FA)
  • - Processing: Purple (#8B5CF6)
  • - Pending: Orange (#F59E0B)
  • - Cancelled: Red (#EF4444)

Date Assignment Logic

The chart plots orders on different dates based on their status:

  • Completed orders: Plotted at completedAt date (when marked complete)
  • Processing/Pending/Cancelled: Plotted at lastModified date (most recent update)
  • Fallback: Uses creation date (order.date) if other timestamps are missing
Example: If an order was created on Nov 1, updated to processing on Nov 5, and completed on Nov 10, it appears in the "processing" section on Nov 5 and "completed" section on Nov 10.

Interactive Features

  • Detailed Tooltip: Hover over any point to see:
    • - Date/period label
    • - Count for each status (only shows statuses with value greater than 0)
    • - Color indicator for each status
    • - Total count for that day/period
  • Status Legend: Below chart shows 4 cards with:
    • - Status name and color indicator
    • - Total count for selected time range
    • - Trend icon if count greater than 0

Reading the Stacked Chart

Each status is stacked on top of the previous one. The total height at any point represents all orders for that period.

  • Bottom layer: Completed orders (blue, foundation)
  • Second layer: Processing orders (purple, stacked on completed)
  • Third layer: Pending orders (orange, stacked on processing)
  • Top layer: Cancelled orders (red, stacked on pending)
Example: If on November 15 you have 10 completed, 3 processing, 2 pending, and 1 cancelled, the total chart height represents 16 orders, with each status occupying its proportional space.

Interpreting Order Patterns

Volume Chart Patterns

Consistent Volume

Relatively steady order count indicates stable business. Good for predicting capacity needs.

Increasing Volume

Growing order count suggests business expansion. May need to increase capacity or hire help.

Spikes

Sudden high peaks may indicate bulk orders, promotions, or seasonal events. Plan for resource needs.

Weekday Pattern

Regular weekly cycle (high Monday-Friday, low weekend) indicates B2B client base.

Status Chart Patterns

Mostly Blue (Completed)

High completion rate indicates efficient workflow and quick turnaround times.

Large Purple/Orange Sections

Many orders in processing or pending suggests backlog. May need to increase production capacity.

Significant Red (Cancelled)

High cancellation rate may indicate pricing issues, quality concerns, or communication problems.

Balanced Distribution

Even mix of statuses shows healthy pipeline with orders at various stages of workflow.

Using Order Analytics for Business Decisions

Capacity Planning

  • • Review Order Volume over 1Y to identify seasonal peaks
  • • Use 3M trends to predict next quarter's needs
  • • Compare Status Trends to see if you're keeping up with demand
  • • Large pending/processing sections signal need for additional printers or time

Workflow Optimization

  • • If completed orders are low but pending/processing are high, streamline your process
  • • Track average time from creation to completion using both revenue charts and status trends
  • • High cancellation rates may indicate need for better client communication or quotes
  • • Consistent completion rates show efficient operations

Marketing and Growth

  • • Compare order volume before and after marketing campaigns
  • • Use 7D view to see immediate impact of promotions
  • • Track month-over-month growth with 1M and 3M views
  • • Identify slow periods where marketing pushes could help

Empty States

Order Volume Empty State

Displays when no completed orders exist in the selected time range:

  • • Shopping cart icon
  • • Message: "No order data for this period"
  • • Hint: "Create orders to see volume trends"

Status Trends Empty State

Displays when no orders of any status exist in the selected time range:

  • • Package icon
  • • Message: "No orders for this period"
  • • Hint: "Create orders to see status trends"

Tip: If you see empty states but know you have orders, try selecting "ALL" time range or verify that order dates are set correctly.

Best Practices

  • Review weekly - Check 7D order volume every Monday to plan the week ahead
  • Track status distribution - Large pending/processing sections mean you need to complete orders faster
  • Update order statuses promptly - Accurate statuses ensure meaningful analytics
  • Compare time ranges - Use multiple ranges to understand both short-term and long-term patterns
  • Monitor cancellations - Investigate if cancelled orders exceed 5-10% of total volume
  • Correlate with revenue - High order volume with low revenue may indicate pricing issues
  • Set completion goals - Aim for majority of status chart to be blue (completed)
